Task Management Apps for iPhone
%%% Introduction %%%
With the goal of finding right task manager app for long-term use, I purchased Todo ($10), Things($10), and Toodledo ($4) from the app store and compared their features.
In short, while all three apps are quite good and have different advantages, I am still seeking a task manager app that meets my demands. Todo is the most full-featured task manager app. However, due to one significant limitation, I may use Things instead.
%%% Todo %%%
Todo has a clean usable interface and robust design. I especially like how it connects via the web to toodledo.com (or RTM), and it connects with Appigo's notebook app ($5) for reference notes, which seems useful. However, Todo lacks a star system to filter today's most important tasks (more on this later).
After using Todo for a while, I am pleased with it. It is difficult to go wrong with this app unless, possibly, you use it too much! I ran into some trouble following David Allen’s GTD philosophy of writing down every conceivable thing as a todo item. When I exceeded approximately 75 items in my todo list (a magic number for me), I began to lose my handle on my tasks and made less overall progress.
Now that I have 107 todo items, the task manager is getting more unmanageable despite my best efforts to maintain organization and provide relevant filtering, which has its functional limits.
My main beef is the Focus list, which now has 22 items. That is way too many items to maintain focus on anyone of the task items. It's getting me confused, and I'm making less progress on my tasks due to this confusion. I am seeing my accomplishments dwindle as the number of todo items grows, which is a seriously bad thing.
%%% Things %%%
The Things app has a gorgeous interface and the star system. It appears slightly complicated at first blush because the streamlined interface appears too simplified, and it does have some severe limitations compared to Todo. At first, I didn't appreciate this app nearly as much as Todo. However, after visiting the Things website and reading a short page about how to use it, I discovered the simple interface is powerful and easy to use. For instance, if you star a task, the app places the action item in the Today list, which is as simple and useful as it sounds.
In comparison to the Focus list for Todo, Things has the Today list. I "action" an item for today by starring it. Things puts the item in the Today list, which makes the list more relevant, helpful, and shorter. I unstar less important items which moves them out of the list, which provides extra clarity. This star system is an extremely meaningful and positive difference which benefits the Things app.
%%% Toodledo %%%
Toodledo may be the most powerful task manager app because it allows a person to connect day-to-day tasks to lifelong goals, provides task tracking, analysis of accomplishments on the toodledo.com website, and the star system. While I am a big fan of their task managing system, the boxy, utilitarian interface of Toodledo is less than desirable.
I am also interested in Omnifocus and TheHitList, but I have not investigated them.
%%% Summary %%%
Todo beats other task manager apps like Things on almost all fronts. However, due to this lack of focus in the Focus list, I am considering moving to the Things app for the time being.
As a next step in the development of the beautiful Todo app, I'd like the Todo app to adopt a better approach for narrowing the Focus list to what is most relevant for today, like a star system, because filtering alone doesn't cut it with a 100+ todo items.
In summary, if you need a great task manager app, Todo is a good choice. However, don’t use it too much! Tooldedo is a great system with an unrefined interface. Things appears oversimplified and hard to use, but it isn’t after a short introduction on the Things website.
a great To Do application at its initial release
this was definitely the To Do app i was looking for. before you buy...if you want a better idea of how it works, check out the great video demo on their website. made
me go "WOW!" and purchase it immediately. the items that sold me were:
- integration with online services for syncing. few other to-do lists apps here can do that.
- address book integration. well done.
- custom strikeouts -- how fun is that!
it's also rather intuitive, usable and very "iPhone-like". i think there's room for improvement and features so i'm reserving one star in my rating...but kudos to Appigo for a very well conceived 1.0 release.
Excellent Application especially when combined with Toodledo
I tried most of the free tasking/todo applications but found them mostly lacking. Then I started looking at Things and OmniFocus. I was leaning towards OmniFocus, but felt that without a Mac I would be missing the synchronization. Enter ToDo with Toodledo synchronization. Now, I have a online tasking/todo that synchronizes with ToDo for offline use. One should note that Toodledo is iPhone webapp enabled and can be used without ToDo. However, ToDo adds a nicer interface and more importantly offline capability. Adding Jott (not the Jott iPhone app) to Toodledo allows me to add tasks via phone. This combo gives me the following capabilities:
1. Web access to all my tasks from any PC. I use this at work.
2. My wife can access my tasks and create her Honeydo lists.
3. I can access my tasks via iPhone offline & online.
4. I can add tasks via phone through Jott. I use this when driving home to help organize thoughts and tasks.
Overall, I give this app 5 stars. Features supported by Toodledo, such as subtasks and recurring tasks are not yet supported by ToDo...but are by Toodledo! So you have access to all these feature via PC and Toodledo webapp. You just wont see this info when viewing your tasks from ToDo. I am sure the developers are working hard to add these features.
