Remember when everyone talked about how we would soon be a paperless society? Now it seems like we use paper more than ever. Let’s face it – we need and we use paper. But Paperless 2 is one of those incredibly useful applications that will help you manage all your paper and digital documents and at the same time positively affect the environment.
Don't dread tax time. No more bringing a shoebox full of receipts to your accountant. According to ruling Rev. Proc. 97-22 from the IRS, a digital document is acceptable. With Paperless 2 you can create a Smart Collection and keep all your documents neat and tidy and in one place. Additionally, once you store your receipts in Paperless 2, you can select the receipts to email, print, or export to PDF, or even show as a chart.
Paperless 2 has the ability to keep up and maintain the task of not only reducing your need for paper but managing the paper you use. Simply scan your receipts, bills, statements, warranty cards, business cards – any paper document and the OCR function of Paperless 2 recognizes the data and adds it to the Details Window. The built-in search functionality even lets you find and organize receipts and documents into Smart Collections. Already have your documents as PDFs or other file formats? No problem. Simply drag and drop them into Paperless 2. By taking your paper receipts, product manuals and other documents and creating an electronic record you’ve already reduced your need for paper.

An extremely useful tool
I don’t normally write reviews, but Paperless warranted comment. I bought the package through Apple App Store for ease as I had just purchased a Scansnap iX500 document scanner. The reason I went down this route was I was getting buried under paperwork from looking after elderly parents affairs and my own two children. Bills, School letters and flyers, Doctors records etc where everywhere. I also needed something to store images of my children’s art and crafts as storing the originals was a nightmare. Along came Paperless…
The App was easy to install and it’s inbuild structure worked straight away with seamless integration with my Scansnap product. The ability to create your own Metadata templates for the Library is a massive plus in Version 2.3.7 allowing you to really get to grips with your data. Getting used to using Tags is a must if you wan to get the best out of Smart Collections. For a product I have really put through it’s paces I have only 3 things I don’t like - 1. If you change the date of the document (for example if you input the date of a Letter in addition to the scan date) it imediately disappears off your screen if you arent in the correct “recent” category. This is ok if you remember what date you used, but I have had to search through hundreds of documents to find the one I put the wrong date on. 2. If I edit in Adobe Acrobat from Paperless, the thumbnail doesn’t update which is a pain, 3. No mobile app to partner it yet… This is not really a fault of Paperless and I knew the facility wasn’t there when I purchased but when you have stored your documents electronically, I miss having them in the cloud for when I need them. The work around I use is to save the Library in my cloud storage and get my devices to read it from there. This has let me sync my Laptop and Desktop.
Summary - A very suitable Document Management system for Home and Small Business and highly recommended for busy parents!
